Autónomos and pymes

Accounting software for autónomos and pymes, with a free plan that does not expire.

Drag the invoice into the browser or send it on Telegram, and it comes out read, checked against the printed total and posted by double entry. The free plan is one company and ten invoices a month, no card.

01Autónomos and pymes

What does the free plan include, and when does it expire?

One company and ten invoices a month. It does not expire, because there is nothing in the system that ends it.

The free plan costs 0 €: one company, ten invoices read a month, ten an hour and one user. We do not ask for a card, so there is nothing to cancel; when you outgrow it you move up a plan, and if you do not, it stays as it is. It is not a fourteen-day trial under another name: there is no expiry date on the account at all, and the free plan is the account's normal state as long as you change nothing.

The free plan's hourly rate is the same as its monthly allowance, so a whole month fits in one hour and a free account is never faster than a paid Solo. There is nothing to install: you come in through the browser, and the database and the files are in Frankfurt. What you do have to wait for is approval: we check every new account by hand, five or ten minutes during working hours.

No card
No card is asked for to create the account, and the free plan never asks for one. You sign in with email and password, or with Google when the provider is switched on.
No expiry date
Ten invoices a month renew every month. The account does not turn into anything after thirty days, because there is no date in the system that ends it.
One company
One company with its chart of accounts, its suppliers, its categories and its bank. To keep two you need five: that is the Despacho plan.

How do I send my invoices and my receipts?

Two doors: the browser and Telegram. There is no third.

In the browser you can drag one file, pick several, drop a whole folder with its subfolders or upload a ZIP: folders and ZIPs are walked through inside. PDF, JPG, PNG, HEIC, HEIF and WEBP are accepted, plus the ZIP as a wrapper, with a cap of two hundred documents per archive and 15 MB per document. Anything that is not an invoice is counted and named to you, not dropped in silence.

Before you drop the files you choose what they are — expense, income, credit note or payslip — and that choice travels with the document instead of being guessed at. On Telegram you send the PDF or the photo, up to 15 MB, and what it does not accept it says, naming the type. The bot comes with the Despacho, Gestoría and Gestoría Plus plans, not with the free one or with Solo. Nothing comes in by email: these two are the doors.

What comes out of an uploaded invoice?

The fields your adviser needs, and a double-entry asiento if the invoice is approved.

Out of each document come the number and the date — also exactly as they are printed — the supplier and the client with their NIFs, the taxable base, the VAT rate and amount, the breakdown when there are several rates, the IRPF withheld with its percentage, other taxes, disbursements, the total, the currency and a category proposed from among your own. The reading is done by AI: an Anthropic model, claude-sonnet-5, and what it does not settle stays in review until you approve it.

Then the arithmetic starts. Base plus VAT plus other taxes minus IRPF has to come to the printed total within one cent, and on a payslip gross earnings minus IRPF minus Social Security has to come to the net pay. If it does not balance, the figures are not corrected: the document drops to review with the imbalance written down. An approved invoice produces its asiento, and if that does not balance to the cent it does not enter the book.

What does the Solo plan add?

Fifty invoices a month instead of ten, for 9 € before VAT. The rest is the same.

Solo costs 9 € a month before VAT and brings one company, fifty invoices read a month, ten an hour and one user. It does not include the Telegram bot. A year is paid at the price of ten months, and there is no commitment on the monthly plans: they can be cancelled any month. These are today's prices, and the same figures the server applies when it counts.

If what you are short of is Telegram or a second company, the step up is Despacho: 29 € a month, five companies, 500 invoices a month, 100 an hour and the bot included. Both limits are checked before the document is read, so the file is kept either way: the hourly one clears on its own, because the window rolls, and the monthly one clears with a bigger plan.

Does this replace the person who files my taxes?

No. iCifra leaves the figure balanced and the book that holds it up; the one who signs and files is your adviser.

iCifra does not generate, fill in or file any model. What it hands over is the received-invoice book, the breakdown by VAT rate, the quarterly totals and the list of counterparties with their annual total, in an Excel an adviser opens and understands; and the Libro Mayor by account, by supplier and by date. The receipts for the models you have already filed are kept with their year, their period and their PDF.

Nor does it issue your invoices: there are no numbering series, no generated PDF, no sending. It reads the ones you receive and the ones you have already issued with another tool, and posts them on their own side. Credit notes are read and kept, but they are not posted yet and the book says so with that reason. There is no currency conversion: the figures are in euros. And nothing comes in by email.

Issued, on their own side
An invoice you have issued is posted the other way round: the client on the debit side for the total, 473 for the IRPF withheld from you, sales to 700 and the VAT to 477.
Payslips
A payslip has its own reading and its own asiento: 640 for the gross, 4751 for the IRPF, 476 for the employee's Social Security and 465 for the net pay.
The category is learnt
Confirming an invoice saves that supplier's rule, so the next one files itself in the same category. The model only proposes from among your categories.
Bank
Statements as CSV, Excel and PDF. Each movement looks for its invoice with the amount to the cent and the date inside thirty days; what finds nothing is said so.

06Questions

What do gestorías and practices ask before trying it?

Do I have to put in a card for the free plan?
No. Not when you create the account and not afterwards. That is why there is nothing to cancel: if you outgrow it you move up a plan, and if you do not, the account stays as it is with its company and its ten invoices a month.
Is the free plan a trial of a few days?
No. There is no expiry date on the account at all, so there is nothing that turns it into something else or closes it. It is an account's normal state as long as you do not change plan.
Can I start uploading invoices in a minute?
Not quite: every new account waits for a person to approve it, and until then the application lets you do nothing, not through the bot either. During working hours it is five or ten minutes, and the waiting screen itself tells you so.
Can I use Telegram on the free plan?
No. The bot comes with Despacho, Gestoría and Gestoría Plus. On the free plan and on Solo you upload through the browser, which takes folders and ZIPs and walks through them inside, with a cap of two hundred documents per archive.
Does iCifra write the invoices I issue?
No. There is no invoice creation, no numbering, no PDF, no sending. If you issue with another tool, upload the document and iCifra reads it and posts it as income, with the output VAT and the withholding in their own accounts.
What happens if I go over ten invoices in a month?
The warning comes before the document is read and the file is kept. With the hourly rate it processes when you retry within the hour; with the monthly limit, you need to move up a plan to carry on reading.

Start with the first invoice of the month.

One company and ten invoices a month, no card and no expiry date. We check every new account by hand before opening it. If you are unsure whether it fits with your adviser, write to us and we read it ourselves.
